What are rate plans?

A rate plan allows you to sell the same room in different ways. They are typically used to create different rates for each room type based on the channel, the day of the week, the season, number of nights stay or a special event.

You can also use rate plans to create "packages" for multiple-night stays with inclusions such as breakfast, lunch, and dinner. This is a great way to attract guests that are looking for various types of accommodation and ultimately get more bookings.

More complex packages need to be managed in your booking engine and the channel.

For example, the room type ‘Queen Room’ can be sold as:

  • Standard Rate’ or

  • 3 Night Special

These are both examples of rate plans that you can create and apply to any of your room types. You can create multiple rate plans with different settings, like minimum stay or inclusions.

Create a rate plan

To set up a new rate plan:

  1. Click on ROOMS & RATES

  2. Click the RATE PLANS tab

  3. Click New Rate Plan in the upper right of the screen

  4. Enter the following information under Rate Plan Details:

    • Name: rate plan title

    • Min Stay: minimum number of nights guests have to stay

    • Release Period: the number of days prior to arrival a guest must book.

    • Description: enter text describing the rate plan’s features and offers. This description is currently for your use only however in the future we will be able to send this to some of your booking channels.

    • Rate Setup: select if you would like to manually enter rates or if you would like to derive rates from another rate plan

    • Inclusions: select the items/offers that you want to include in the rate plan between Breakfast , Lunch , and Dinner.

    • Currency: select the currency for this rate plan.

  5. Click Save

Your new rate plan will appear under the RATE PLANS tab. Once a rate plan is created, you can assign it to a room type. This combination of rate plan and room type is referred to as a room rate.

Rate Plan Currency

Rate Plan Currencies allow a currency to be applied to each rate plan, and pricing to be set per currency, per rate plan.

This allows complete control over rate pricing for a channel that may require rates to be sent in a currency that is different to your default currency.

Please note: Rate Plan Currencies are not enabled as a feature by default. Should you wish to use this feature please contact support who will be able to assist.

To set the Rate Plan Currency:

  1. Click ROOMS & RATES

  2. Click the RATE PLANS tab

  3. Click the name of the Rate Plan you want to edit, and click CONFIGURE

  4. From the Currency drop-down list, select the currency for this Rate Plan

  5. Click Save

You will now be able to manage this room rate pricing in the currency you've set. The currency code of each rate will be visible on the inventory grid.

Once Enabled, The following restrictions apply:

  • Currency Conversion will be turned off

  • Cannot derive Room Rates with different currencies

  • Cannot override Rate Plan Currency from the Room Rate level

  • Cannot "move" a Room Rate to another Rate Plan

Rate Plan/Room Type Settings

You can set up manual or derived rates and add overrides.

If you chose "Manually input daily rates" for your rate plan, then when you assign a room type to the rate plan (creating a room rate), you will be asked again whether you want to "Manually input daily rates" or "Derive daily rates from another Room Rate".

If you set your room rate to "Manually input daily rates", you will have to choose the rates manually for each day in the inventory. Normally this is done using the bulk update function. Alternatively, if you are connected to a PMS/RMS and the rate is mapped to a PMS/RMS, your PMS/RMS can control the pricing directly.

If you set your room rate to "Derive daily rates from another Room Rate", you will have to choose another room rate to derive the pricing from. Daily rates will be taken from the other room rate and you can choose whether you want to keep the same as the other room rate or adjust them in a certain way, like increasing or decreasing by a percentage or set amount.

If you choose to set your rate plan to "Derive daily rates" you will have to choose another rate plan to derive the pricing from.
Daily rates will be taken from the other rate plan and you can choose whether you want to keep the same as the other room rate or adjust them in a certain way, like increasing or decreasing by a percentage or set amount.

When you assign a room type to the rate plan (creating a room rate), if you chose "Derive daily rates" for your rate plan, then you will be asked whether you want to keep the rate plan's derived pricing or "Override Rate Plan pricing".

If you set your room rate to "Override Rate Plan pricing", then you can choose whether you want to "Manually input daily rates" or "Derive daily rates from another Room Rate".
Essentially, when you "Override Rate Plan pricing" for a specific room rate, it will behave as if the rate plan was set to "Manually input daily rates".

Delete a rate plan

To delete a rate plan:

  1. Click on ROOMS & RATES

  2. Click the RATE PLANS tab

  3. Click on the Rate Plan you wish to delete

  4. Click DELETE

  5. On the pop up window select Delete

Please note: This will permanently delete the rate plan, its associated room rates, and mapped channel rates.

This does not delete anything on a connected channel. You will need to contact the Online Travel Agent to remove rate plans you no longer wish to sell.
