How to update rates, availability, and restrictions on your channel manager’s inventory grid.

Important to know:

  • To update the inventory grid, go to My Apps > Channel Manager > Inventory.

  • If you have a PMS (property management system), CRS (central reservations system), or an RMS (revenue management system), your channel manager may receive inventory updates from it. Always check with your PMS/CRS/RMS provider before making an inventory update, as it may override your updates.

  • Some channels have longer update periods than others. Check their update period on My apps > Channel manager > Channels.

Update rates, availability, and restrictions

To update rates, availability, and restrictions on the Inventory grid, you can:

  • Use the Bulk update button — the fastest option when updating many room types, room rates, or channel rates’ availability, rates, or restrictions across several channels and dates.

  • Use the lightning button — a fast option to bulk update a change for a specific room type, room rate, or channel rate’s availability, rates, or restrictions across several dates.

  • Update each cell individually on the grid — easy to do when checking specific values on the grid for ad-hoc updates;

  • Use the Copy button on the grid — useful when you want to copy a manual change you just input in the grid to all the visible dates.

Note:

  • Derived rates cannot be updated manually. When you update a manual rate via the Inventory grid, all its derived rates will be updated accordingly.

  • The values set in the inventory grid will be sent to your booking engine and connected channels.

Bulk update rates, availability, and restrictions

Find instructions below for each type of bulk update you can apply via your inventory grid.

Make extensive updates via the Bulk update button

To bulk update multiple dates, room types and room rates across selected channels at once, follow the steps below:

  1. Go to My Apps > Channel Manager > Inventory > click on Bulk update.

  2. Go to Set, open the drop-down menu, and select the restriction type.

  3. If applicable, add the value (for rate, availability, length of stay updates); otherwise, select On or Off (for stop sell, close to arrivals or close to departures).

  4. Select a date range. To select more than one range, click on the Add another date range button.

  5. Select the applicable days for each date range. These are highlighted in blue.

  6. Below, tick the room rates you want to update. Click on the down arrow of a room rate to display its channel rates.

  7. Make sure to tick the channels that you want to update in the Channels column.

  8. Click on Save to apply the update.

Make a quick bulk update via the lightning button

To update rates, availability, and restrictions for one room type, room rate, or channel rate across multiple dates, follow the steps below:

  1. Go to My Apps > Channel Manager > Inventory.

  2. Locate the date you want to change.

  3. Click on the lightning button at the room type, room rate, or channel rate level.

  4. The Quick bulk update window will appear. Enter the new availability or rate into the field, or enable or disable the restriction (Close to arrival, Close to departure, and Stop sell).

  5. Select a date range. To select more than one range, click on the Add date range button.

  6. Select the applicable days for each date range. These are highlighted in blue.

  7. Click on Save.

Apply individual changes to rates, availability, and restrictions directly on the grid

To update rates, availability and restrictions directly on the inventory grid for a specific date, follow the steps below:

  1. Go to My Apps > Channel Manager > Inventory.

  2. Room rates are organised inside their room types, while channel rates are located inside their room rates. Locate the date and room type/room rate /channel rate that has a value you want to change.

  3. Click on the current value you want to change and enter a new value.

  4. Click on Save at the top of the page.

Note:

  • Derived rates will be greyed out as they cannot be manually changed in the Inventory grid. When attempting to update a derived rate, the mouse will show a forbidden icon.

  • Use the Reset button to reverse any changes that have not been saved yet.

  • You can use the filters relevant to what you are updating.

Copy rates, availability, and restrictions on the grid

Use the Copy function to copy rates, availability, and restrictions to other room types, room rates, or channel rates across multiple dates in your inventory grid. These are the applicable changes you can make via the Copy tool:

  • Copy [update] across — depending on your selection, this will copy availability, rates, or restrictions horizontally across the inventory grid row for multiple dates.

  • Copy availability to other rooms — copy the entire row of availability vertically down to other room types in the inventory grid column.

  • Apply selected [update] to other rates — depending on your selection, this will apply rates or restrictions vertically down to other room rates/channel rates that belong to the same room type/room rate in the inventory grid column.

  • Apply [update] row to other rates — depending on your selection, this will copy the entire row of the rate or restriction vertically down to other room rates/channel rates that belong to the same room type/room rate in the inventory grid.

Note:

  • Copying only applies to dates visible on the grid.

  • When using the Copy tool to update multiple room rates or channel rates, it will only affect room rates and channel rates that belong to the same room type.

To copy rates, availability, and restrictions to other room types, room rates, or channel rates across multiple dates in your inventory grid, follow the steps below:

  1. Go to My Apps > Channel Manager > Inventory.

  2. Room rates are organised inside their room types, while channel rates are located inside their room rates. Locate the date and room type/room rate /channel rate that has a value you want to change.

  3. Click on the current value you want to change and enter a new value.

  4. Click on the Copy button (next to the lightning button) and select the type of Copy you want to do (Copy across, Apply selected rate to other rates, or Apply rate row to other rates).

  5. Click on Save.
