Channel Manager - Map your room rates

For you to connect with a channel we need to view the rates you have on your channel’s side. If you have not created any rates on the channel side, we

recommend you create them before you begin with your room mapping in the channel manager.

You need an equivalent rate in the channel extranet for each room rate you want to connect to the channel manager.

If you have a Property Management System (PMS) connection in the channel manager, you will also need to ensure you have created the rates in your PMS.

Once you have the rates created on all applicable sides, you need to connect them via mapping.

Map your room rate to a PMS

If you have a Property Management System (PMS) connection in the channel manager, then you must map your room rates to the PMS first and then to your connected booking channels.

To map a room in your PMS to a room rate:

  1. Click the PMS n a me in the top navigation bar in the channel manager

  2. Click ROOMS & RATES

  3. Tick the show rooms/rates not mapped to (PMS name) checkbox

  4. Locate the room rate you want to map and click map to (PMS name)

  5. Enter the required information
    Note: Click the information symbol to get info about each field.

  6. Click save

Repeat steps 4 through 6 for each room rate you wish to map.

Please note: Once you've completed mapping all required room rates, initiate a 'push' of all inventory from your PMS to the Channel Manager, to ensure the most up-to-date information is sent through. If you're not sure how to do this, please ask your PMS provider.

Map your room rate to a channel

To map a room rate to a channel:

  1. Click the CHANNELS tab. A list of Active channels and Channels awaiting setup is displayed

  2. From Active channels, click on the channel you want to map your room rates. The ROOMS & RATES tab is displayed

  3. Click on the map to link in front of the channel manager room rate you want to map to and enter the following information in the pop-up window:

Map to - Select the channel room/rate to map from the dropdown list

  • To see which rates are still unmapped, please click "Unmapped box" as per the screen below

  • Enter any required fields (this may be different based on the setup of your connected booking channel)

  • Select yes to start updating the channel. Specify if you want the channel manager to begin updating rates, availability, restrictions (if applicable), as well as processing reservations upon completion of the connection.

  • Click Save

Once a room rate is mapped, and you've selected to 'start updating channel', you can manage the rates, availability, and restrictions for the connected channel rate through the channel manager.

Please note:

  • By default, the room rate pricing set in the inventory grid will be used for each channel you connect your room rate to.

  • By default, there will be no restrictions set for each channel you connect your room rate to. Keep this in mind when mapping a room rate to a new channel room/rate, especially if it was previously mapped to other channels.

  • If you have a PMS, make sure to have the PMS push restriction values again (pressing the Refresh button afterwards in the Channels section might be necessary).

  • If you do not have a PMS, make sure to use the Copy Tool or update the Channel Manager inventory directly to have the correct restrictions set up.

Map your room rate to multiple room rates on a channel

It is important to ensure you map to every available rate plan on a channel. In some cases, this requires mapping one channel manager rate to multiple rates on a channel.

This is most common for the channel Expedia, especially if you are enlisted in their Expedia Travellers Preference program.

To map one room rate in the channel manager to additional room rates on a booking channel:

  • Click the CHANNELS tab. A list of Active channels and Channels awaiting setup is displayed.

  • From active channels, click on the channel you want to map your room rates. The ROOMS & RATES tab is displayed

  • Select mapped to view a list of mapped room rates for the channel

  • Click on the Channel Manager room rate (2nd column) you want to map and select the MAP TO <yourchannelname>

Provide the following fields in the pop-up window:

  • Map to Select the channel room/rate to map from the dropdown list

  • Enter any required fields

  • Select yes to start updating channel

  • Specify if you want the channel manager to begin updating rates, availability, restrictions (if applicable), as well as processing reservations upon completion of the connection. Complete any other required fields. Use the info icons, if you need help regarding a particular field

  • Save

  • Repeat the steps above to map multiple channel rates to the Channel Manager Room Rate (2nd column)

Please note: Synchronisation errors may occur if multi-mapped channels rates are sent differing rates/restrictions.

To avoid any potential issues, please ensure that the rate configuration for any multi-mapped channel rates is derived and set to "keep prices the same".

Please closely monitor any restrictions to ensure they are set identically across all multi-mapped channel rates.

Update your channel mapping configuration

To update any configuration details within a room rate mapping:

  1. Click CHANNELS

  2. Click on required channel

  3. Click the name of the channel rate and select CONFIGURE.

  4. Make the appropriate changes

  5. Click Save

Un-map or disconnect your room rate from a channel

Notes:

  • Once you disconnect a room, it will no longer be mapped in channel manager. You will need to manage its Rates and Availability via the channel.

  • Removing room rate mapping will not delete rooms from the channel itself.

To disconnect your room rate from a channel:

  1. Click CHANNELS

  2. Click on the channel you want to disconnect the channel rate from

  3. Click the name of the channel rate and select DISCONNECT FROM CHANNEL. A confirmation window will appear

  4. Click Disconnect to confirm

Enable mappings that have "Updates Disabled"

Sometimes when sending updates to a channel the mapping may become disabled because channel rejects the updates that channel manager is attempting to send through.

You will be notified of any mappings that have become disabled through email should you have 'Email User Messages' enabled for your user.

To re-enable your mapping to channel:

  1. Click CHANNELS

  2. Click on the channel that contains mappings that are disabled.

  3. Click the name of the channel rate that has status " Updates Disabled" and select CONFIGURE.

    • A red error message will display explaining why the mapping is disabled. If applicable carry out appropriate fix before continuing or mapping may become disabled again.

  4. Set Continue updating channel to 'yes'

  5. Click Save
