To map your room rates to Hotelbeds, follow these steps:
Go to Channel Manager > Channels > click on Hotelbeds > Rooms & rates tab.
Click Map to Hotelbeds in front of the channel manager room rate you want to map.
Select the channel room/rate to map to from the drop-down list.
Configure the settings for the channel rate.
Click Save.
Note:
Before mapping, you will need to create rooms and rates in iHotelier’s extranet, to match the set up in your Channel Manager.
Map each required room rate to Hotelbeds to ensure no unmapped rates.
Here are some key points to know when mapping to Hotelbeds:
Contracts
Each room rate in Hotelbeds is referred to as a “contract”.
The contract end-date must have an update period of at least 750 days from the current date before mapping.
When mapping room rates to HotelBeds, you may see room rates returned from Hotelbeds with 2 contracts.
The second contract is an extension of the first contract, often indicated by the second contract having the same name (they will have a different contract number). For example, “DOUBLE STANDARD: NRF-BAR(31618)” and “DOUBLE STANDARD: NRF-BAR(34567)”.
When there are two contracts (with the same name), you will need to map them to the one room rate in your Channel Manager.
Nested rooms
When rooms are linked to a parent room in Hotelbeds, they become “nested” rooms. Note the following:
Map and enable the Hotelbeds parent room rate — when mapping nested rooms, you will need to map and enable the Hotelbeds’ parent room first for the room rate you want to map. If the parent room rate is not mapped and enabled, this may result in an error that disables the room rate.
Availability level for the nested room — setting an availability level for the nested room that is higher than the availability of its parent room will result in an error that disables the room rate.
Room rate currency
Hotelbeds allows you to set a different currency for each contract (room rate). However note that:
If the currency you have set on Hotelbeds for one or more contracts is not the same as the Base currency you have set in the settings in your Channel Manager, the updates for the room rate will not sync.
To avoid this, you could enable Currency conversion to match the currency of contract in Hotelbeds.
If you have set up different currencies for different contracts in Hotelbeds and you want to set up different currencies in your Channel Manager per each room rate, contact our Support team.
Two-way or one-way connection with Hotelbeds
💡HSI stands for Hotel Supplier Interface, and BMS stands for Booking Migration System.
Hotelbeds offers two types of connections with your Channel Manager:
Two-way connection (default):
Includes both HSI and BMS.
HSI: Sends inventory updates to Hotelbeds.
BMS: Receives reservations from Hotelbeds.
One-way connection:
Data will only flow one way.
HSI only: sends inventory updates to Hotelbeds, but doesn't receive reservations, or BMS only: receives reservations from Hotelbeds, but doesn't send inventory updates.
💡To change your connection type or for more information, please contact Hotelbeds directly.
Liberate bookings
“Liberate” is a payment option for Hotelbeds that allows you to collect payments directly from the guest, and where commission is collected by Hotelbeds.
If you receive “Liberate” bookings, you should receive the guest’s payment details, and will be informed of the booking type in the Guest remarks.
💡To enable the “Liberate” payment option, please contact Hotelbeds directly.
Manage rate configuration
When mapping a room rate to Hotelbeds, choose whether you want to send the room rate’s rates to the channel by selecting “Yes” or “No” to the setting Manage rate configuration.
If set to Yes (the default option) — rates will be sent from your Channel Manager to Hotelbeds for this room rate.
If set to No — rates for this room rate will not be sent to Hotelbeds. This should be set to No whenever the rates are being derived or managed on Hotelbeds. (If you are unsure if rates are managed or derived on Hotelbeds, please contact Hotelbeds directly.)
